Discover how your Confluence instance is developing (includes user count, attachment storage, etc.)

Full Instance Report

This is a new Viewtracker report introduced in September 2023.

Accessing the Instance Report

In the Viewtracker menu, select the new entry “Instance/System Report”.

This will open the Instance Report in a condensed version:

KPIs in the condensed version:

  • number of Confluence users

  • number of spaces

  • number of pages & blog posts

  • number of attachments

  • size of attachment storage

Set a date range and tap “Apply” to load the full report with all KPIs.

(info) If you are interested in the metrics of a particular space, access the Space Status Report.

Full Instance Report

The full report consists of the following components:

Active vs. inactive Users

This section lists the number of active and inactive users. Active users have viewed, created, edited, or commented on at least one Confluence page in the defined date range.
The percentage display indicates the active users in the defined date range.

The icon “…” links to the Content & Usage Users Report for a detailed overview of user activities.

  • If you click next to “Active users”, the report only lists active users.

  • If you click next to “Inactive users”, the report only lists inactive users.

Viewed Spaces

This section lists the number of viewed spaces versus the total number of spaces. A space view is counted if at least one of the space contents has been viewed in the defined date range.
The percentage info indicates the viewed spaces.

The icon “…” links to the Content & Usage Spaces Report to get a detailed overview of spaces viewed in the selected data range. You can change the filter to “spaces without views”.

Viewed Pages

Similar to the previous section, the number of pages and blog posts viewed is compared to those not viewed during the defined date range.

Viewed Attachments

This section compares the number of viewed attachments to the total number. Only attachments whose file type is tracked by Viewtracker are considered here. Learn how attachment types can be excluded or added.

The icon “…” links to the Content & Usage Content Report with the content type filter set to “Attachments” for a detailed overview of viewed attachments. You can change the filter to “content without views” to see unused attachments.

Some of the metrics listed above can also be displayed in a chart.

  • You can choose between a line, bar and area chart.

  • You can group the data by days, weeks, months, and years.

The corresponding graphical representation is displayed for the defined date range.

Views by time of day

This overview offers insight into which days and times the Confluence pages (pages and blog posts) are visited most. This helps determine, for example, when to publish important communications or schedule maintenance work.

All views are cumulated in the selected date range's corresponding day and time and displayed as a colored cell. The darker the cell, the more views occur at the corresponding time.
On mouse-over, a tooltip with the cumulative views is listed. Additionally, the view intensity is shown on the scale.

Top spaces based on …

The default selection is “Storage increase”: The top 10 spaces in the set date range for “most attachments” (according to their file size) are listed here.

Only attachments whose attachment type is tracked by Viewtracker are included here. Learn how attachment types can be excluded or added.

More top 10s can be selected in the drop-down menu:

  • active users

  • new pages and blog posts

  • newly added attachments

Content Inventory

Only from the moment that the Vietracker app is installed, views and other activities in the Confluence instance are tracked. For example, if certain content has never been visited, edited, or commented on since the app was installed, Viewtracker does not know of its existence. Accordingly, this content does not appear in any of the Viewtracker reports.

Confluence administrators can perform a synchronization so that the entire content inventory is shared with Viewtracker. After that, all content will be listed in the reports, regardless of whether there has been any activity since the app was installed.

Administrators can perform this content synchronization.

For users without administrator privileges, an info box will indicate whether a synchronization has taken place.

  • The blue info box shows that the synchronization has not yet run and that an administrator should be asked to perform it.

Note

Currently, all reports list only spaces, content, attachments that have been viewed or edited since the Viewtracker installation. 
For a complete overview, an inventory of your Cloud content must be created.

Please contact your Confluence administrator and request they start the inventory here in the Instance Report.

  • The green info box shows that the synchronization has been done.
    An administrator can perform a new one by tapping “Redo inventory synchronization”.

Inventory complete

All spaces, content, and attachments have been synchronized. The Viewtracker reports list now the complete inventory.
